The Coalfield Express Committee invites all convention attendees to bring items to sell during the silent auction, as well as a passion to bid. This activity will have something for everyone from Z-scale to G-scale! There will be a minimum first bid of $1.00. Please group and package items accordingly. Bring items that you no longer want, kits, scenery, track, switches, etc. Be sure items are worth at least a dollar. Also, please be sure to familiarize yourself with the silent auction rules before entering the room.
COALFIELD EXPRESS 2010 SILENT AUCTION RULES
- The silent auction is to be held during the Coalfield Express 2010 Convention under the charge of the Coalfield Express Convention Silent Auction Committee. The Coalfield Express Auction manager will have the final authority on all matters regarding the operation of the auction. The auction manager is Kelley Massie.
- The silent auction will begin receiving consignments on Thursday at 3:00 PM, or as soon thereafter as the room has been properly set up. Although we do not anticipate running out of table space, auction item entry will be terminated if the allotted space is filled to capacity. The auction will open for bidding Thursday 3:00 PM to 9:00 PM, Friday 9:00 PM to 9:00 PM, and Saturday 9:00 PM to 3:30 PM. Be sure to acquire your convention registration packet prior to bringing your items to the silent auction room. You will not be allowed to enter any items until you have your convention-issued badge.
- Auction Item Cards (AIC) will be available in the auction room for items to be auctioned. Only official item cards will be accepted for this convention. Seller will be responsible for making sure their items have been properly tagged and marked. Multiple lot items to be sold will be given one AIC and secured on a seller provided tray with Saran Wrap or rubber bands. Any boxed item that the seller desires to have displayed in an “open box” condition must be secured with Saran Wrap to prevent handling of the item. Any item consisting of multiple loose parts should be enclosed in a Zip-Lock bag and stapled shut. Preprinted self-adhesive labels no larger than 1”x2” (Avery #5160) attached to the AIC will be permitted. All labels shall include scale and manufacturer on the first line of each label. Sellers will bring their items and AIC cards to a member of the committee to be placed in the auction room. Auction personnel will assist the seller with placing items on the appropriate table.
- Auction Item Cards (AIC) will have the seller’s convention registration number, unique item number, a description of the item(s) and space for multiple bids.
- The minimum bid for each item will be no less than $1.00. Bids will be in whole dollar increments only. Any bid involving an amount other than a whole dollar amount will be cancelled.
- The convention registration number issued by the convention registrar will be the auction bidding number for all participants. Therefore, sellers and buyers MUST be registered for the convention. Only convention badge-wearing persons will be admitted to the silent auction room.
- The bidding will close on Saturday at 3:30 PM. Once closed, the bids will be totaled and winning bidders’ registration numbers will be posted on the easel/bulletin board outside the auction room as soon as practical.
- Settlement with buyers will begin Saturday from 4:30 PM to 5:30 PM, as well as one hour after the banquet. Payments can be made to the Coalfield Express Convention Treasurer via cash or check only. Seller settlement will begin Saturday from 5:00 PM to 5:30 PM and one hour after the banquet. There will be a 10% fee of the final bid price for all sellers. The fee will be calculated at settlement on a per item basis rounded to the nearest nickel. Buyers and sellers are reminded to be available to settle all transactions at the stated time periods. Settlement is not a process taken lightly and our diligence in handling your transaction correctly is of utmost priority. Please be patient with the process.
- Seller settlement will be in the form of cash or check from the Convention Treasurer. All sellers will be provided a statement of items sold and those that were “no sale” items. No sale items not claimed within one hour after the banquet will be forfeited by the seller to the host auction committee to be disposed of at the seller’s expense.
- All individuals coming into the silent auction room will be required to check ALL bags in a designated secure area in the silent auction room. No bags, ladies purses, briefcases, large cases, backpacks, neck strapped camera bags, bulky clothing/coats will be allowed in the auction room. Bidders should expect this rule to be strictly enforced. This rule is for the protection of all the models on display.
- All bidders should be prepared to bid by bringing their own blue or black ink ball point pen. No colored pencils, liquid ink pens or felt tip markers will be allowed. If the high bidder’s bid number or bid is illegible, the time will be sold to the highest legible bidder’s bid. The determination of an illegible bid will be at the sole discretion of the auction committee and all decisions will be final.
- All items placed in the silent auction are sold as is-where is, and the silent auction committee, the Coalfield Express Convention, take no responsibility for the condition, description, or the correctness for any item. Bidders are cautioned to bid on an item only if they can ascertain that the item is as advertised. The buyer is purchasing the merchandise at his own risk. No refunds are provided under any circumstances for this auction.
